Nanny-Educators and Household Managers

The process of finding the right Nanny-Educator and Household Manager starts with you providing us with an application form. From this, we can work with you to find the right Nanny-Educator or Household Manager for your family.

Nanny-Educator

  • All our Nanny-Educators are employed by Placement Solutions, so you can rest assured you have a screened and experienced person caring for your child/ren. They will have:
    • A minimum of 3 years childcare experience
    • Working with Children’s Check
    • Ideally completed or currently working towards a Certificate III in Children's Services (as a minimum)
    • Level 2 First Aid and CPR
    • Child Protection Accredited Training
  • Our Nanny-Educators can work up to 10 hours per shift. The preferred minimum shift is 6 hours. If you need more or less than these hours please contact us, we can arrange some alternative options for you.
  • Our aim is to place the right Nanny-Educator with you the first time. Different services will have different placement processes please talk to our consultants about your service.
  • Once we begin the search (once your Set Up/Initial fee has been paid), we are working on matching you with the right person for your family's needs. Part of this Set Up/Initial fee covers the cost for this, hence this fee being non-refundable as services have been rendered.
  • Our Nanny-Educators will provide activity plans that are age and developmentally based. Our Nanny/Educators continue to upskill each by attending professional development sessions.
  • Our Nanny-Educators and Families agree to daily handovers of 10 mins in the AM & PM and a weekly notated meeting.
  • Our Nanny-Educators have a duty of care to your child/ren so to make sure they can do this; general household duties are prohibited. The Nanny-Educator can do child-related tasks only if the child/ren is/are asleep or assisting in an educational way.

Household Managers

  • Our Household Managers can either be employed by Placement Solutions, or contracted by the family. Either way, you can rest assured you have a screened and experienced person in your home. They will have:
    • A minimum of 2 years' experience (organisation, assistant)
    • Police checked
  • Our Household Managers can work up to 10 hours per shift. The preferred minimum shift is 6 hours. If you need more or less than these hours please contact us, we can arrange some alternative options for you.
  • Our aim is to place the right Household Manager with you the first time. Different services will have different placement processes please talk to our consultants about your service.
  • Once we begin the search (once your Set Up/Initial fee has been paid), we are working on matching you with the right person for your family's needs. Part of this Set Up/Initial fee covers the cost for this, hence this fee being non-refundable as services have been rendered.
  • Our Household Manager will provide a professional and efficient service in your home. 

Family obligations (all services)

  • At initial application stage, it is your responsibility to book your Family Onboarding Consultation. If not booked within 14 days of application submission, joining fee is not refunded. 
  • All bookings are final.
  • Pending the service type, you choose you may be contracted to set hours per fortnight and billed accordingly.
  • All/any changes of bookings must be made in writing with at least 7 days’ notice to the agency (booked hours will continue if no notification is made).
  • Booked ‘contracted’ hours are billed for 52 weeks per year or length of the contract period. 
  • Where a change of the booked hours or a family has a circumstance change, illness or other, booked hours and cancellation policy applies. 
  • You are liable for all service fees associated with the service you choose. All fees are non-refundable. Where applicable GST will apply to some fees.
  • Families who cannot meet the payment requirements by their due date, may risk their service being put on hold until all invoices are paid to date.
  • All communications, intellectual property and staffing provided to you is owned/employed by Placement Solutions and you are prohibited to use, pass on or poach.
  • You are responsible for the logging of timesheets along with the Nanny/Educator. All information must be correct and approved to ensure there is no fraudulent activity.
  • We have full professional indemnity public liability & Work Cover & insurance for all our employed Nanny/Educators. It is your responsibility to take out the appropriate insurances in your home; such as home and contents and car insurance where the Nanny/Educator is using the equipment.
  • You are responsible to maintain a safe working environment for our employees
  • Any parties who continue on with private arrangements of care after our service period has ended or has poached our employees to another service, you will be billed at the maximum 17% recruitment fee (including Superannuation). 
  • Hours used that are more than 38 hours per week will incur penalty rates. Hours that are outside of the award/s ordinary hours will incur penalty rates.
  • Changes to bookings will incur a Booking Fee $49.50 (GST Inclusive). Non refundable.
  • Bookings requested with less than 24 hours notice will will incur a $50 (GST incl.) fee on top of the casual service booking fee. 
  • Cancellation Policy
    • Cancellations of less than 24 hours' notice will be billed the full booking, no credits or refunds apply
    • Cancellations prior to 24 hours' notice of the booked shift will incur a $75 cancellation fee per shift/per day/per Nanny/Educator/HHM.
  • Late timesheets/hours lodged will incur a late timesheet charge of $30 per incident. This generally applies to the Nanny/Educator, however it is the families responsibility to check and sign of the timesheet in that fortnight of service.
  • Timesheets are to be signed by both the Nanny/HHM and parent/guardian. Clear notation of use of booked hours is required, where care is interrupted such as kinder, late or earlier start or finishes, lunch breaks etc...
  • Bounced payments will incur a charge of $30 per incident.
  • Late payments on outstanding invoices will incur a 10% charge on the total amount owing. Payment terms are C.O.D. 
  • Ceasing Services - One month's written notice is required when ceasing all services. Where notice is not provided full fees will apply for the notice period. Funds will be released within 28 business days of final session of care and providing all invoices are a closed.
  • Placement Solutions reserves the right to outsource the collection of any payments, where they see fit. Failure to meet payment obligations and debt services will be activated and all costs passed to the family. 

Casual Service

On-call service - minimum 6 hour shifts up to one month of services.

Casual Service Fees:

  • Booking Fee: $49.50 - $99.50 (GST inclusive) per booking (Bookings made with less than 48hrs notice, the booking fee will be $99.50). The booking fee is non-refundable. 
  • Services Fees: Ordinary Hours pricing range from $57.00 - $67.00. Prices will vary depending on the days and hours requested (outside ordinary hours, penalty rates, public holidays in line with the Miscellaneous Award). Speak to a consultant for a quote.
  • Changes to bookings will incur a change fee $49.50 (GST Inclusive). This fee is non-refundable.
  • Credit Card payment: Is required prior to placement commencement. If the invoice is not paid the service cannot commence.
  • Families are liable for the full fee.
  • All fees are paid in advance.
  • Cancellation fee applies once booking is confirmed. See general terms.
  • Placement Solutions reserves the right to outsource the collection of any payments, where they see fit. Failure to meet payment obligations and debt services will be activated and all costs passed to the family. 

Temporary Service

Between 2-12 months of service required.

Temporary Service Fees:

  • Set Up/Initial Search Fee: $290.00 (GST Inclusive). Non refundable.
  • Services Fees: Ordinary Hours pricing range from $57.00 - $67.00. Prices will vary depending the days and hours requested (outside ordinary hours, penalty rates, public holidays in line with the Miscellaneous Award). Speak to a consultant for a quote.
  • Advance Bond Fee: This will be two weeks of full-service fees paid prior to the commencement of the service. This is held as a bond and released at the end of service providing one month's written notice.
  • Changes to bookings will incur a Booking Fee $49.50 (GST Inclusive). Non refundable.
  • Bookings requested with less than 24 hours notice will incur a $50 (GST incl.) fee on top of the casual service booking fee.
  • Payment options: Ezidebit, it is a fortnightly service and fees are incurred pending the type of payment you choose. MYOB facilitated online credit/debit card payment gateway or via direct deposit.
  • Families are liable for the full fee. All fees are paid in advance to cover any changes in the subsidies, Nanny/Educator wages or change of circumstances.
  • Families who cannot meet the payment requirements by their due date, may risk their service being put on hold until all invoices are paid to date.
  • Cancellation fees apply see general terms.
  • Placement Solutions reserves the right to outsource the collection of any payments, where they see fit. Failure to meet payment obligations and debt services will be activated and all costs passed to the family. 

Permanent Service

Placements Solutions can employ for the first 12 months then refer you to the preferred payroll Service; Just Family Payroll Pty Ltd (See below for link).

Permanent Service Fees:

  • Set Up/Initial Search Fee: $290.00 (GST Inclusive). Non refundable.
  • Services Fees: Ordinary Hours pricing range from $57.00 - $67.00. Prices will vary depending the days and hours requested (outside ordinary hours, penalty rates, public holidays in line with the Miscellaneous Award). Speak to a consultant for a quote.
  • Advance Bond Fee: This will be two weeks of full-service fees paid prior to the commencement of the service. This is held as a bond and released at the end of service providing one month's written notice.
  • Families who cannot meet the payment requirements by their due date, may risk their service being put on hold until all invoices are paid to date.
  • Changes to bookings will incur a Booking Fee $49.50 (GST Inclusive). Non refundable.

  • Families are liable for the full fee. All fees are paid in advance to cover any changes in the subsidies, Nanny/Educator wages or change of circumstances.
  • Placement Solutions reserves the right to outsource the collection of any payments, where they see fit. Failure to meet payment obligations and debt services will be activated and all costs passed to the family. 

Child Care Subsidy (CCS) Service

Placement Solutions is only the facilitator of the IHC programme where families can access IHC for CCS/ACCS. As a provider we do not have responsibility for, or access to your subsidies. We provide the Nanny/Educator as per your requirements in line with WorkSafe practices, and our agency’s policies. We cannot presume liability for any error, inaccuracy, or miscalculation of your subsidies by Centrelink or any other government software provider.

  • Be registered for a MyGov account and approved for Child Care Subsidy (CCS) for each child requiring care. Your MyGov account is your tool to ensure that you are up to date with any changes or notifications regarding your access to IHC – CCS/ACCS. You are responsible for maintaining your activity within this account.  
  • Have had eligibility for In-Home Care (IHC) confirmed by your state's relevant In-Home Care Support Agency, and they have completed your Family Management Plan (FMP).
  • Confirm a Complying Written Agreement (CWA) once Placement Solutions has received your FMP and notified you.
  • Have had paid and understood all relevant fees (see below).
  • Parental contribution means a family contributes to the payment of the relevant sessions of care. According to legislation this contribution is a mandatory requirement of receiving IHC/ACCS/CCS. If the provider (Placement Solutions) is notified of any change to this legislation, either permanent or temporarily, we will notify you accordingly.
  • Be in line with your CCS requirements such as the activity test updates, you are responsible for keeping all child/ren’s immunisation records up to date. If this is not updated in time, subsidies may be compromised, and you will be liable for any subsequent fee that could arise from this occurring. 
  • Any evidence provided for the purposes of approval for an Additional Child Care Subsidy (ACCS) certificate/determination period must be true and correct, and entirely factual of your current circumstances
  • You must inform the Agency if your child attends or is going to attend another form of approved care as you cannot claim the subsidies from both providers for the same times.
  • Bookings means your confirmed sessions of required care for the duration of your contract period. This means each fortnight you are billed for your ongoing booking. Permanent to your ongoing booking will require written notice and may incur cancellation fees.
  • Absences can be claimed when booked care is not used up to the relevant allocation as per the Department of Education, Skills and Employment (DESE). This means that we are still able to facilitate access to subsidies for you during these booked sessions of care, meaning you will only be liable for the relevant parental contribution.
  • If a public holiday falls within what would otherwise be a scheduled booking of care, an absence may be claimed. If you require the session of care to be work, then you will be charged the relevant public holiday rate that your Nanny/Educator is entitled to.
  • Other Penalty rates may apply if sessions of care fall outside of the ordinary hours, relevant to the award the Nanny/Educator is paid. This includes overtime, afternoon, morning, weekend rates and allowances etc…
  • If you require a replacement Nanny/Educator for a booked session or an additional session, please be aware that an alternative may fall under a different classification under their relevant award, and you may incur different session fees.
  • Invoices are presented fortnightly and you are required to pay these according to policy (see invoice for payment date). If not paid on time, late fees may apply (10% of total invoice). If you have queries about anything to do with your invoices or payment you must talk to our finance team (1300 854 624 or email finance@placementsolutions.com.au)
  • Bounced or late payments for your fortnightly service may incur a fee of 10% of the total invoice amount.
  • Third Party payments means an independent organisation that has agreed to pay part, or all of your fees. The funding agreement for this purpose remains between you and the relevant third party. You are responsible for ensuring that all payments are made. You are responsible to ensure that you meet all obligations of your agreement with the third party. Placement Solutions cannot take responsibility for any private funding agreement that has been made. 
  • Cancellation Policy
    • cancellations less than 24 hours’ notice will be billed the full booking; no credits or refunds apply. As above if able to claim an absence subsidy may be applied.
    • cancellations prior to 24 hours’ notice of commencement of the session/s may incur a $75 cancellation fee per shift/per day/per Nanny/Educator/HHM.
  • Late timesheets/hours lodged may incur a late timesheet charge of $30 per incident. Submission of these is the responsibility of you and the Nanny/Educator. This is an official record of your children's sessions of care and the agency requires these to process your subsidies accordingly.
  • You must inform the Agency if your child attends or is going to attend another form of approved care, as you cannot claim the subsidies from both providers for the same times.
  • You agree to Placement Solutions conducting Home Visits (IHV) in person or virtual if requried. This is a requirement for all families accessing the IHC programme. An IHV is conducted at the start of care, and at any other time that may be deemed necessary.

CCS Fees:

  • Set Up/Initial Search Fee: $290.00 (GST Inclusive). Non refundable. Placement Solutions may have the discretion to discount or refund this fee in certain circumstances.
  • Services Fees: Ordinary Hours pricing ranges from $54.25 - $61.15.
  • Changes to bookings will incur a Booking Fee $49.50 (GST Inclusive). Non refundable.
  • Bookings requested with less than 24 hours notice will incur a $50 (GST incl.) fee on top of the casual service or change to booking fee.
  • The current CCS rate is capped at $38.87 (as at 10/07/24) per hour. You can check your MYGOV account for your family’s specific CCS percentage (%). The maximum allowance that the government offers is only up to 85% of this capped rate. The calculation of your subsidy will be $38.87 x your % (e.g. $38.87 x 85% = $33.03) so in this example your returned subsidy would be $33.03 per hour of booked care. Please note that the government guidelines state they can withhold 5% of this subsidy at any time.
  • If requiring hours outside of the ordinary hours, pricing will vary. This will depend on the days and hours requested. Speak to a consultant for your relevant specified quote.
  • Advance Bond Fee: This will be 2 weeks of full-service fees paid prior to the commencement of the service. This is held as a bond and released at the cessation of your family’s service. This is conditional upon you providing one month's written notice to the agency. This can either be applied to any outstanding invoices or refunded in full.
  • Payment options are: Ezidebit, this it is a fortnightly automated service. Ezidebit offers credit card or direct deposit (fees may apply via Ezidebit). MYOB facilitated online credit/debit card payment gateway this is available via your invoice (fees are applied to your invoice). Direct Deposit (EFT) this is a free service.
  • Families are liable for the total cost of care. All fees are to be paid on time. In the event that subsidies are not paid to Placement Solutions by the government within the relevant billing cycle, you may be required to the pay the full cost of care, in order that your Nanny/Educator can be paid.
  • Holding Fee - this may be incurred when a family is taking leave to hold their CCS place or if the Educator is unavailable. 
  • Families who cannot meet the payment requirements by their due date, may risk their service being put on hold until all invoices are paid to date.
  • Families who cannot meet the payment requirements may risk their service being put on hold until all invoices are paid to date. 
  • Placement Solutions reserves the right to outsource the collection of any payments, where they see fit. Failure to meet payment obligations and debt services will be activated and all costs passed to the family. 

CCS Subsidies:

  • Where a family is eligible and accessing Child Care Subsidy Placement Solutions will facilitate the transaction of these subsidies. The subsidy will be allocated to your account each fortnight and you will be charged the stipulated parental contribution.
  • Please note that Placement Solutions is a full-fee service and only facilitate the Government Child Care Subsidy program. Placement Solutions is not liable to cover these subsidy payments for you. 
  • If the subsidy has not been received by Placement Solutions (from the Department of Education, Skills and Employment) for the fortnight you will be charged the full fee for service.

Additional Child Care Subsidy (ACCS) Service

Placement Solutions is only the facilitator of the IHC programme where families can access IHC for CCS/ACCS. As a provider we do not have responsibility for, or access to your subsidies. We provide the Nanny/Educator as per your requirements in line with WorkSafe practices, and our agency’s policies. This means that we are still able to facilitate access to subsidies for you during these booked sessions of care, meaning you will only be liable for the relevant parental contribution. If you have utilised all of your absences full fees apply. 
  • If a public holiday falls within what would otherwise be a scheduled booking of care, an absence may be claimed. If you require the session of care to be work, then you will be charged the relevant public holiday rate that your Nanny/Educator is entitled to.
  • Other Penalty rates may apply if sessions of care fall outside of the ordinary hours, relevant to the award the Nanny/Educator is paid. This includes overtime, afternoon, morning, weekend rates and allowances etc…
  • If you require a replacement Nanny/Educator for a booked session or an additional session, please be aware that an alternative may fall under a different classification under their relevant award, and you may incur different session fees.

  • Late timesheets/hours lodged may incur a late timesheet charge of $30 per incident. Submission of these is the responsibility of you and the Nanny/Educator. This is an official record of your children's sessions of care and the agency requires these to process your subsidies accordingly.
  • You must inform the Agency if your child attends or is going to attend another form of approved care, as you cannot claim the subsidies from both providers for the same times.
  • You agree to Placement Solutions conducting Home Visits (IHV), in person or virtual if required. This is a mandatory requirement for all families accessing the IHC programme. An IHV is conducted at the start of care, and at any other time that may be deemed necessary.

ACCS Fees:

  • Set Up/Initial Search Fee: $250 (GST inclusive). This is non-refundable. Placement Solutions may have the discretion to discount or refund this fee in certain circumstances.
  • Services Fees: Ordinary Hours pricing ranges from $53.95 - $59.45.
  • Current ACCS capped rate is $46.64 per hour (as at 10/07/24), this is what you can expect to have applied to each hour of approved care. Please note that the government guidelines state they can withhold 5% of this subsidy at any time.
  • If requiring hours outside of the ordinary hours, pricing will vary. This will depend on the days and hours requested. Speak to a consultant for your relevant specified quote.
  • Advance Bond Fee: This will be one week of full-service fees paid prior to the commencement of the service. This is held as a bond and released at the cessation of your family’s service. This is conditional upon you providing one month's written notice to the agency. This can either be applied to any outstanding invoices or refunded in full.
  • Changes to bookings will incur a Booking Fee $49.50 (GST Inclusive). Non refundable.
  • Bookings requested with less than 24 hours notice will will incur a $50 (GST incl.) fee on top of the casual service or change to booking fee.

ACCS Subsidies:

  • Where a family is eligible and accessing Additional Child Care Subsidy Placement Solutions will facilitate the transaction of these subsidies. The subsidy will be allocated to your account each fortnight and you will be charged the stipulated parental contribution.
  • Please note that Placement Solutions is a full-fee service and only facilitate the Government Additional Child Care Subsidy program. Placement Solutions is not liable to cover these subsidy payments for you. 
  • If the subsidy has not been received by Placement Solutions (from DOE) for the fortnight you will be charged the full fee for service.

Recruitment Service

We find you a Nanny/Educator or a Household Manager and you pay us a recruitment/placement fee.

Recruitment Service Fees:

  • Set Up/Initial Search Fee: $290.00 (GST inclusive). Non refundable.
  • Recruitment service options:
    • BRONZE (Recruitment 30) = 13% of the Nanny/Educator or HHM annual salary (including Superannuation) and includes a 30-day replacement guarantee, plus 25% discounted joining fee to Just Family Payroll services. 
    • SILVER (Recruitment 45) = 15% of the Nanny/Educator or HHM annual salary (including Superannuation) and includes a 45-day replacement guarantee, plus 50% discounted joining fee to Just Family Payroll services and access to 1 x casual booking fees waived.
    • GOLD (Recruitment 60) = 17%* of the Nanny/Educator or HHM annual salary (including Superannuation) and includes a 60-day replacement guarantee, plus a waived joining fee to Just Family Payroll services, and access to 3 x casual booking fees waived.
    • The minimum recruitment fee payable is $3500 i.e. if the percentage calculation is less than $3500 (short hour job) you are liable for the greater amount which in this example would be $3500. This recruitment fee includes a 14-day replacement guarantee.

  • Annual Fee of $499 (plus GST) – included assistance with award increases, performance, and remuneration reviews.
  • Payment options: Ezidebit, it is a fortnightly service and fees are incurred pending the type of payment you choose. MYOB facilitated online credit/debit card payment gateway or via direct deposit.
  • Changes to bookings will incur a Booking Fee $49.50 (GST Inclusive). Non refundable.
  • This applies to both Nanny services and Household Management services
  • All communications, intellectual property and staffing presented/provided to you are owned or employed by Placement Solutions. Any parties who continue on with private arrangements of care before, during or after our service period has ended or has poached our employees to continue to work with the family or other party privately, a Recruitment fee will be issued (minimum 13% recruitment fee).

Household Management Service

We match you with one of our Household Managers. 

Household Management Service Fees:

  • Set Up/Initial Search Fee: $290.00 (GST inclusive) Non refundable.
  • NDIS HHM Search Fee/Initial Set Up Fee: $575.00 (GST inclusive). Non refundable.
  • Either use our labour hire services or our recruitment services. For our recruitment services please refer to that section of the T&C's. 
  • For our labour Hire services the following points apply.
  • Services Fees: Ordinary Hours pricing range from $60 plus. Prices will vary depend on the task required, and any hours requested (outside ordinary hours, penalty rates, public holidays in line with the Miscellaneous Award). Speak to a consultant for a quote.
  • 2-week advance fees payable prior to commencement.
  • Changes to bookings will incur a Booking Fee $49.50 (GST Inclusive). Non refundable.
  • Bookings requested with less than 24 hours notice will will incur a $50 (GST incl.) fee on top of the casual service fee.
  • Payment of Fees: COD either via direct deposit (EFT), MYOB online, Ezidebit.
  • Families are liable for the full fee.
  • Families who cannot meet the payment requirements by their due date, may risk their service being put on hold until all invoices are paid to date.

Payroll Services

Want to employ your own Nanny/Educator or Household Manager or other staff you may need. We can offer you a payroll service.

NDIS Service

Permanent Service Fees:

  • Set Establishment Fee: $575.00 (GST Inclusive). Non refundable.
  • Services Fees: Ordinary Hours pricing range from $67.56. Prices will vary depending on the days and hours requested in line with the NDIS price guidelines. Speak to a consultant for a quote.
  • Participant to provide their plan and to sign a booking agreement to confirmation delegation of approved funds for booked services.
  • Payment options: Ezidebit, it is a fortnightly service and fees are incurred pending the type of payment you choose. MYOB facilitated online credit/debit card payment gateway or via direct deposit.
  • In home visit is required. Price based on NDIS current price guide. In-home visit required for workplace and safety purposes.
  • Participants are liable for the full fee.
